An exact specified product and a possible alternative are different purchasing requests. Start with the original specification, even when some details are unknown.
Identify each line
Provide manufacturer, complete part number including suffixes, description, quantity and purchasing unit. Distinguish pieces from cases and state pieces per case where known. Include a clear label photo if the part number is incomplete; a photo helps identification but does not prove compatibility.
Preserve the purchasing rules
Include the agency or company, facility, RFQ reference, deadline and time zone, required delivery date and destination. State whether the specified product is mandatory, alternatives are permitted, or the rule is unclear. Attach the original RFQ or specification and identify relevant addenda. Most agency fields in our intake are optional.
List documentation and submission requirements
Tell us which product literature, certificates, country-of-origin information or onboarding documents are required. Availability of each document must be confirmed; do not assume it follows from a catalog listing. Sensitive banking and tax records belong in a private onboarding exchange.
Check the receipt and final quote
The website accepts supported PDF, spreadsheet and photo files, up to three files and four MB total. Keep the receipt reference and check the number received; email missing or larger files with that reference. A person reviews the request before a quote. Check that a quote identifies the product, quantities/UOM, alternatives or exceptions, freight, availability, delivery qualifications, validity and terms.
Use the official bid channel
A sourcing enquiry is not a formal bid response. Follow the solicitation’s official procurement channel, registration requirements and deadline. Receipt through FilterBridge does not mean an agency portal submission occurred.
